How to Share product assets with clients using Portals in Caimera

What Portals are for?


Sending product assets by email attachment or a pile of one-off download links is slow to assemble and impossible to keep track of. Once a link is out, you can't see who opened it, you can't revoke it, and there's no clean place for a partner to leave feedback.


A Portal replaces all of that with a single secure link. Your wholesale partners, marketplaces, and clients open the link and can browse, comment on, and download the assets you've shared with them.


Two things worth knowing up front:


  • Recipients don't need a paid plan. Nothing on their end is gated.
  • Recipients don't need a Caimera account. They open the link and they're in.

Before you start
  • You need assets already in your Caimera workspace that are ready to share.
  • Have your recipients' email addresses ready. Portal members are invited by email and sign in with a personal link, so there is no open public link to forward.
  • If you want the portal branded, have your brand colours (and, on Enterprise, your logo file) to hand.


Step 1 — Create a portal

Open Portals from your Caimera workspace using the left side panel → Create portal → Give the portal a name your recipient will recognise → save.


Tip: Create one long-lived portal per relationship rather than one per delivery.

Step 2 — Organise assets

Inside the portal, create an asset groups → Name them by collection, season, SKU family, or delivery. Add the relevant assets to the group and repeat for each grouping you need. You can also send assets straight from the Library or any tool's history using Send to Portal.

Step 3 — Invite members

Open the portal's Members tab to add recipients by entering their email addresses and send invitations. Each member receives a personal sign-in link.


Access is per-portal, so a partner only ever sees the portal they were invited to. Revoke a member and their access ends immediately. Invite the specific people rather than sharing one login with a distribution list: named members are what make the Analytics useful.

Step 4 — Set what members can do

Open the portal's Settings tab to decide whether members can comment on assets and whether they can download them. These settings apply to everyone in the portal. Comments left by members show up on the image inside Caimera for your team to act on.


Step 5 — Add branding

Portals can carry your own branding so the experience reads as coming from your brand rather than from a generic file-sharing tool. Open the portal’s Branding tab to set your brand colours and text (Pro and above). On Enterprise you can also add your logo for a fully white-labelled portal.

Step 6 — Track engagement

Each portal has an Analytics view showing how it's being used. Navigate to Analytics tab to see which member viewed the portal and which assets they viewed or downloaded. You'll also receive a daily summary email of portal activity. Use this to confirm delivery, identify inactive accounts, and understand which assets partners engage with most.

Before you send anything to a real client, open the portal using Open Portal button on top left and confirm the asset groups, branding, visibility, and downloads are all working correctly.

  1. Does my client need a Caimera account?

No. They open their personal sign-in link and use the portal without signing up.


  1. Does my client need a paid plan?

No. There's no plan requirement on the recipient's side.


  1. Which plan do I need to create a portal?

Starter (1 portal, 100 assets), Pro (3 portals, 250 assets, branding) or Enterprise (unlimited, white-label).


  1. Can clients leave feedback on assets?

Yes. Turn on comments in the portal's Settings tab and feedback stays attached to the asset instead of scattering across email threads.


  1. Can I stop people from downloading but still let them look?

Yes. Turn off downloads in the portal's Settings tab. This applies to all members of that portal.


  1. How do I revoke access?

Remove the member from the portal's member list.


  1. Can one portal serve multiple collections?

Yes. Use asset groups within a single portal rather than creating a new portal for every delivery.
