# How to Share product assets with clients using Portals in Caimera

## What Portals are for?

Sending product assets by email attachment or a pile of one-off download links is slow to assemble and impossible to keep track of. Once a link is out, you can't see who opened it, you can't revoke it, and there's no clean place for a partner to leave feedback.

A **Portal** replaces all of that with a single secure link. Your wholesale partners, marketplaces, and clients open the link and can browse, comment on, and download the assets you've shared with them.

Two things worth knowing up front:

* **Recipients don't need a paid plan.** Nothing on their end is gated.
* **Recipients don't need a Caimera account.** They open the link and they're in.

###### Which plans include Portals?

| **Plan** | **Portals** | **Assets per portal** | **Branding** |
| Free / Mini | Not included | — | — |
| Starter | 1 portal | 100 | — |
| Pro | 3 portals | 250 | Brand colours and text |
| Enterprise | Unlimited | Unlimited | Colours, text and your logo (white-label) |

###### Before you start
* You need assets already in your Caimera workspace that are ready to share.
* Have your recipients' email addresses ready. Portal members are invited by email and sign in with a personal link, so there is no open public link to forward.
* If you want the portal branded, have your brand colours (and, on Enterprise, your logo file) to hand.

###### Step 1 — Create a portal
Open **Portals** from your Caimera workspace using the left navigation rail → **Create portal** → Give the portal a name your recipient will recognise → save.

|| **Tip:** Create one long-lived portal per relationship rather than one per delivery.

![Step 1: How to Create a portal](https://storage.crisp.chat/users/helpdesk/website/-/c/8/b/f/c8bf533b39f9b00/48b44e0c-12fb-4feb-b970-80c495_a13u3x.gif =600x337)

###### Step 2 — Organise assets
Inside the portal, create an **asset groups** → Name them by collection, season, SKU family, or delivery. Add the relevant assets to the group and repeat for each grouping you need. You can also send assets straight from the Library or any tool's history using **Send to Portal**.

###### Step 3 — Invite members
Open the portal's **Members** tab to add recipients by entering their email addresses and send invitations. Each member receives a personal sign-in link.

Access is per-portal, so a partner only ever sees the portal they were invited to. Revoke a member and their access ends immediately. Invite the specific people rather than sharing one login with a distribution list: named members are what make the Analytics useful.

###### Step 4 — Set what members can do
Open the portal's **Settings** tab to decide whether members can **comment** on assets and whether they can **download** them. These settings apply to everyone in the portal. Comments left by members show up on the image inside Caimera for your team to act on.

Feedback can be closed out as well as left: once a comment has been addressed, click the check on it to move it into the collapsible **Resolved** section. Portal members can resolve and reopen feedback on their side too, portal tiles and the asset viewer show a count of open comments only, and the portal's **Analytics** tab tracks how much feedback is still open per asset.

###### Step 5 — Add branding
Portals can carry your own branding so the experience reads as coming from your brand rather than from a generic file-sharing tool. Open the portal’s **Branding** tab to set your brand colours and text (Pro and above). On Enterprise you can also add your logo for a fully white-labelled portal.

###### Step 6 — Track engagement
Each portal has an **Analytics** view showing how it's being used. Navigate to **Analytics tab** to see which **member** **viewed the portal and which assets they viewed or downloaded**. You'll also receive a daily summary email of portal activity. Use this to confirm delivery, identify inactive accounts, and understand which assets partners engage with most.

Portal members get a daily recap too, so a new drop or a round of feedback doesn't sit unseen. It counts the assets published to the portal the previous day and lists the new comments and who left them. Quiet days send nothing at all — the email only goes out when there is something to report.

###### Step 7 — Check the recipient view
Before you send anything to a real client, open the portal using **Open Portal** button on top left and confirm the **asset groups, branding, visibility, and downloads** are all working correctly.

###### Step 8 — How to Download Assets from Portal
Select the assets in the portal and click **Download ZIP** on the selection bar. The download button in the full-screen asset viewer works the same way. Either one opens a small options panel:

* **Format** — choose PNG or JPEG, and set the quality for JPEG.
* **Add AI disclosure** — bake a disclosure mark into the image. Pick one of the official **AI disclosure (EU)** labels (*AI*, *AI generated*, or *AI modified*), drawn into the bottom-left corner, or a text watermark in your own wording. You choose one or the other, not both. Leave **Colour** on *Auto* and Caimera applies whichever of the black or white versions stands out against that corner, or pin *Black* or *White* so every image matches.
* **Add image metadata** — embed XMP subject keywords so the disclosure information travels with the file.

Single-tile and group quick downloads stay one click, with no options panel. If your portal displays a watermark on screen, that mark is now baked into downloaded files as well.

Portals provide your collaborators with a seamless, branded, and secure experience for accessing and reviewing assets. Start using Portals to work faster, avoid version chaos, and scale your business with confidence.

###### FAQs

1. **Does my client need a Caimera account?**
No. They open their personal sign-in link and use the portal without signing up.

2. **Does my client need a paid plan?**
No. There's no plan requirement on the recipient's side.

3. **Which plan do I need to create a portal?**
Starter (1 portal, 100 assets), Pro (3 portals, 250 assets, branding) or Enterprise (unlimited, white-label).

4. **Can clients leave feedback on assets?**
Yes. Turn on comments in the portal's Settings tab and feedback stays attached to the asset instead of scattering across email threads.

5. **Can feedback be marked as done?**
Yes. Click the check on a comment to resolve it and tuck it into the **Resolved** section; anyone can reopen it with one more click. The comment's author is emailed when their feedback is resolved.

6. **Can I stop people from downloading but still let them look?**
Yes. Turn off downloads in the portal's Settings tab. This applies to all members of that portal.

7. **Can partners add an AI disclosure label to what they download?**
Yes. The portal's download options panel offers the official EU AI disclosure labels, a custom text watermark, and XMP image metadata, the same as downloads inside Caimera.

8. **How do I revoke access?**
Remove the member from the portal's member list.

9. **Can one portal serve multiple collections?**
Yes. Use asset groups within a single portal rather than creating a new portal for every delivery.
